Upload FBR invoices from Excel
If you already keep your sales in a spreadsheet, you can send them to FBR without re-typing a single invoice. Fill in the template, upload it, and the portal validates and posts each invoice.
How it works
- Open the Excel template and go to the INVOICES sheet.
- Enter one row for each line item. Use the same invoice number (SINV) on several rows to make one invoice with several items.
- Pick values from the dropdowns for province, buyer type, invoice type, unit of measure and sale type.
- Save the file as .xlsx and upload it in the portal.
- Review the preview, then validate and post. Rows with problems are reported so you can fix them and try again.
The columns that matter
| Column | What to enter |
|---|---|
| SINV | Your own invoice or serial number. Repeat it on every row of the same invoice. |
| invoiceType | Sale Invoice, Debit Note or Credit Note. |
| invoiceDate | Date as YYYY-MM-DD. |
| buyerNTNCNIC | Buyer NTN or CNIC. The column is text, so leading zeros and letters are kept. |
| buyerBusinessName, buyerProvince, buyerRegistrationType | Full buyer name, province, and Registered, Unregistered, Consumer or AOP. |
| hsCode, productDescription, quantity, uoM | HS code, item description, quantity and unit of measure. |
| rate, valueSalesExcludingST | Sales tax rate and the unit value before sales tax and before discount. |
| saleType | Optional. Choose the sale type from the dropdown. |
| sroScheduleNo, sroItemSerialNo | Only for reduced or zero rated supplies that fall under a specific SRO. |
| scenarioId | For sandbox testing only. Leave it blank in production. |
| invoiceRefNo | The reference invoice number. Needed for a Debit Note. |
Some columns are formulas, such as the sales tax amount, the withholding amount and the line total. Leave them alone, because they calculate for you.
Print-only fields. PO number and PO date appear on the PDF but are never sent to FBR.
Why use Excel upload
- Speed: post a whole batch instead of entering invoices one at a time.
- Fewer mistakes: dropdowns and built-in formulas keep values consistent.
- No lock-in to your billing tool: if it can export to Excel, you can use it.
- PDFs and sharing included: every posted invoice gets a PDF with a QR code that you can send by WhatsApp or email.
